Appointments
How do I make an appointment?
To book an appointment, please call 1300 0 AWARE (1300029273) or email reception@awarehub.com.au to check availability. If you have a GP referral or Mental Health Care Plan, please include a copy when contacting us.
Am I able to bring a support person to my appointment?
Yes, you may bring a support person if appropriate . In some situations, your clinician may recommend that part of the appointment occur privately.
How do I communicate with my clinician between appointments?
All communication should be directed through reception@awarehub.com.au. Clinicians’ personal contact details are not provided. Please allow up to 72 hours for a response after your clinician returns to work.
How do I obtain a prescription outside of my scheduled appointment?
Email reception with the medication name, strength and dosage. If you have not seen your clinician within 6 months, a review appointment may be required. Script fees may apply.
How do I obtain a script outside of my scheduled appointment time?
Please email reception@awarehub.com.au the medication, strength, and dosing details, as well as whether you will collect your script or the details of your preferred pharmacy to send it to , and we will pass this onto your clinician. If you have not consulted with your clinician for the past 6 months, a follow up appointment will be required. If you have not seen your clinician for over a year, a new GP referral and a follow up appointment will be required. In all other situations, a script fee of $30 for one or $50 for two is applicable. You can either collect the script directly from reception, or alternatively, an additional $3 fee will apply to send the script via trackable post to your preferred pharmacy.
Fees and rebates
How do I cancel or reschedule an appointment?
Please contact reception as soon as possible by phone or email. A 48-hour cancellation policy applies to all appointments. Late cancellations or non attendance may result in the full consultation fee being charged.
Is TMS covered by Medicare?
TMS may be eligible for Medicare funding when specific clinical criteria are met, particularly for treatment‑resistant depression. Eligibility is determined through assessment with a psychiatrist. Our team can discuss whether Medicare funding may apply in your situation.
Is esketamine covered by Medicare?
Esketamine treatment is generally provided on a private basis and is not typically covered by Medicare. In some circumstances, certain insurance schemes or DVA programs may provide coverage where prior approval has been granted. Our team can provide information about costs before treatment commences.
How much does it cost?
The cost of a neuropsychological assessment varies depending on the type of assessment. The cost is largely dependent on how long the assessment takes which will be determined by the specific assessement type and the complexity of your individual case. For specific pricing information, please contact reception on 1300 029 273 or reception@awarehub.com.au. Payment plans are available upon request. At this point in time a Medicare rebate is only available on Austism Spectrum Disorder assessments for individuals under 25 years. You may also be able to claim a portion of the costs of your feedback session.

Treatments
What is TMS therapy, and how does it work?
Transcranial Magnetic Stimulation (TMS) is a non‑invasive brain stimulation treatment that may be used for certain mental health conditions, most commonly depression. Magnetic pulses are delivered to targeted brain regions involved in mood regulation. TMS does not require anaesthesia and is performed while you are awake and seated comfortably. Treatment is typically delivered across multiple sessions over several weeks as part of a structured clinical program.
Who may be suitable for TMS treatment?
TMS may be considered for people experiencing depression or other conditions where symptoms have not adequately improved with standard treatments such as medication or psychological therapy. Suitability is determined following assessment with a psychiatrist to ensure the treatment is safe and appropriate for the individual.
What happens during a TMS session?
During a TMS session, a magnetic coil is placed against the scalp and delivers targeted magnetic pulses to specific areas of the brain. Sessions typically last between 3 and 20 minutes, depending on the treatment protocol. Most people are able to return to normal daily activities afterwards. Driving is permitted following treatment.
Is TMS safe?
TMS has been studied in clinical settings and is generally considered safe when delivered by trained clinicians following appropriate screening. As with any medical treatment, suitability and potential risks are assessed before treatment begins. Your clinician will discuss whether TMS may be appropriate for your individual situation.
Can TMS be used while taking medication?
In many cases, TMS may be provided alongside existing medication treatment. Decisions about medication use during TMS are made by the treating psychiatrist based on clinical history, safety considerations and individual treatment goals.
What is treatment‑resistant depression?
Treatment‑resistant depression generally refers to depression that has not adequately improved after at least two adequate trials of antidepressant medication. In these situations, clinicians may consider additional treatment options following further clinical assessment.
What is esketamine therapy?
Esketamine is a medication related to ketamine that may be used in carefully supervised medical settings for certain severe or treatment‑resistant mood disorders. Treatment occurs within a structured clinical program under the supervision of trained clinicians and is usually provided alongside ongoing psychiatric care.
Who may be eligible for esketamine treatment?
Esketamine may be considered for people with significant depressive symptoms who have not responded to other treatments. Eligibility is determined through a comprehensive assessment with a psychiatrist to ensure the treatment is appropriate and safe.
What happens during an esketamine treatment session?
Esketamine is administered in a supervised clinical environment. Patients remain in the clinic for observation to monitor the response and ensure safety. Because the medication can temporarily affect alertness, patients are required to arrange transport home after the session and are not permitted to drive.
Are there side effects with esketamine treatment?
As with any medication, side effects can occur. These may include temporary changes in perception, dizziness, nausea or increased blood pressure. Patients are monitored by clinical staff during and after treatment to ensure safety.
How long does a neuropsychology assessment take?
Assessments usually range from 3-6 hours with an additional feedback session conducted after the final report has been completed to discuss the results. The length of an assessment will vary depending on the complexity of the case and the amount of testing that needs to be completed to fully investigate the concerns which have been raised. This will also determine whether the assessment is completed in one session or two to three sessions.
Why does testing take so long?
There are numerous different cognitive abilities and skills that we use to interact with the world. These abilities and skills are in turn impacted by a range of biological, developmental, psychological and environmental factors. In the assessment, to accurately understand an individual’s cognitive strengths and weaknesses requires that each of these cognitive abilities are measured using standardised (which means they are given the same way to everybody) scientifically derived and validated tasks. Testing the various cognitive abilities in this manner is why assessments can take time. While an individual assessment session may take several hours, it’s important to note that you’ll be given breaks throughout; the assessment process is not meant to be a test of cognitive endurance! We want to ensure you have the optimal chance to perform at your best.
What are the various different stages of the neuropsychological assessment process and how long will it take until I get the results?
There are usually several defined stages to the overall assessment process. Firstly, an initial interview with the client (or parent in the case of a child) to obtain background information and also an understanding of the presenting concerns/difficulties. Following the interview, cognitive and behavioural testing will commence, and as noted above, may be conducted in one session or spread across multiple sessions. Once all testing has been completed, those results along with any other collaborative evidence will be consider and a final report produced detailing the findings. The concluding step of the assessment is a feedback session where results and findings will be discussed. The period of time this process takes, from initial interview to feedback session, will vary depending on how many testing sessions are required. However, the feedback session will usually be booked within one to two weeks of completing the final assessment session.
Can I prepare for my assessment?
There is no preparation for a neuropsychology assessment as such; you can’t study for the tasks that you’ll be given. However, we want to get the best possible picture of your current cognitive functioning so one of the best things you can do is come to assessment well rested; therefore, avoid alcohol 24hours prior to your assessment and try to get a good night’s sleep.
Who performs the assessment?
The assessment is conducted by a Clinical Neuropsychologist, a psychologist who specializes in assessing brain functioning and its relationship with behaviour, or a registered psychologist who has had additional specialised training in psychometric testing and its interpretation.
Can you assess Specific Learning Disorders?
Our base neuropsychology assessment can assess for Specific Learning Disorders (SLD), which includes Dyslexia, Dysgraphia, and Dyscalculia. Please note that in order for a formal diagnosis of a Specific Learning Disorder to be made, clients need to have previously sort treatment to address their learning difficulty, but even after these attempts, performance still remains below what would reasonably be expected. Even in the absence of previous remediation attempts, a neuropsychology assessment can play a valuable role in identifying where an individual’s reading/writing/ maths skills are at relative to expectation and from there provide a baseline from which to gauge the success of subsequent treatment and if an SLD diagnosis is appropriate at that stage having received treatment.
How are ADHD assessments conducted?
ADHD assessments involve a detailed clinical evaluation of attention, behaviour and developmental history. This usually includes clinical interviews, questionnaires, and review of relevant medical, school or work information. The assessment process may vary depending on the individual and the type of evaluation required.
What is the role of a psychiatrist in ADHD assessment?
A psychiatrist is a medical specialist who can diagnose ADHD and prescribe medication where appropriate. Psychiatrists also assess for other mental health conditions that may influence attention, mood or behaviour and provide treatment recommendations where needed.
What is the role of neuropsychology in ADHD assessment?
Neuropsychological assessment involves detailed testing of cognitive functions such as attention, executive functioning, memory and learning. This type of assessment can help clarify diagnostic questions, identify cognitive strengths and challenges, and guide recommendations for education, work or daily functioning.
Can adults be diagnosed with ADHD?
Yes. ADHD can be diagnosed in both children and adults. Many people seek assessment later in life when symptoms begin to significantly affect work, study, relationships or daily functioning.
How long does an ADHD assessment take?
The time required for an ADHD assessment varies depending on the type of evaluation needed. Some assessments involve one or two clinical appointments, while comprehensive neuropsychological assessments may occur over several sessions with additional testing and reporting.
Step 1 - Prior to the qEEG
If you have been referred for a qEEG, we will provide a clinical form that your referring clinician needs to complete prior to having the procedure Prior to having the qEEG, you will be required to complete a comprehensive intake form. This will cover questions related to the following: Reason for having the assessment Your current and past symptoms Current diagnosis Current treatment Medical and mental health history Family history Developmental history Once booked, we will send you an email that outlines all the information needed to prepare for your EEG. It is important to follow these instructions to improve the validity and reliability of the qEEG findings.
Step 2 - Day of the qEEG
In order to measure brain activity reliability, please follow these steps: Wash your hair in the morning with shampoo, but no conditioner . Dry your hair well. Do not use any products on your hair before or after drying. Do not apply make up or creams to your face. Wear comfortable clothes. Do not wear a high collared shirt/jumper Do not use alcohol or drugs for at least 8 hours prior to the assessment. Try not smoke for at least 3 hours prior to the procedure. Do not have any caffeine for at least 3 hours prior to the procedure. Discuss your medication with your doctor. If not given any alternate instructions, continue all regular medication. You will be asked for written consent to perform the qEEG and, if willing, share your information confidentially for the purpose of research and training. The technician will then guide you through the qEEG process and attach the scalp cap and electrodes for monitoring. The set up takes approximately 40 minutes and the EEG recording process, another approximately 50 min. It is a non invasive and painless process. Conduction gels and alcohol wipes are used. Please report any product allergies or sensitivities to your clinician.
Step 3 - After the qEEG
The raw EEG data collected during your asssessment will be sent to a third party to analyse and create a report. The report can take up to two weeks to finalise. We will provide you with the completed report to take back to your referring clinician. Should you need to consult with one of our clinicians, as an existing client of our practice we will prioritise your appointment but there will still be a wait time depending on a doctor’s immediate availability.
Telehealth
Are telehealth appointments available?
Yes, telehealth is available. Please call 1300 0 AWARE (29273) , or email reception@awarehub.com.au to arrange a telehealth appointment with your clinician. On the morning of your appointment, a reception staff member will call you for payment. Only credit and debit cards are accepted. We will process the Medicare rebate following your appointment. Our cancellation policy remains applicable to telehealth appointments.
Privacy
How is my privacy and confidentiality upheld?
Practitioners and administrative staff comply with the Privacy Act 1988 and Australian Privacy Principles. We follow strict standards regarding the collection, storage and disclosure of personal health information. In rare situations where there is a serious risk of harm or where required by law, confidentiality may need to be limited as part of our duty of care.
How do I share information or transfer records?
Email reception to request a Consent to Release Information Form. Once signed, we can request records on your behalf. Please allow up to 14 days for processing.

What should I do in an emergency situation?
AwareHub is not an emergency or crisis mental health service. If you require urgent assistance, please call 000, Lifeline (13 11 14), the Mental Health Line (1800 011 511), or attend your nearest emergency department.
How do I get forms completed?
Administrative requests outside appointments may attract a fee determined by your clinician. Medicare rebates do not apply. Please allow up to 7 days for processing.
What happens if my clinician leaves AwareHub?
You will be informed and supported in arranging ongoing care, either with another clinician at AwareHub or an external provider, depending on your preference and clinical needs.
Can I access services at AwareHub under DVA or workers' compensation?
Most clinicians at AwareHub do not consult under DVA or workers’ compensation arrangements. However, some of our treatment programs, including Transcranial Magnetic Stimulation (TMS) and esketamine therapy, may be available to eligible DVA and workers’ compensation clients where appropriate approvals are in place. AwareHub can bill directly for certain schemes, including iCare (NSW workers’ compensation) and WorkCover Queensland, with approval in place. For other insurers, clients are generally responsible for payment of consultation fees and may seek reimbursement directly from their insurer where applicable. Please contact reception prior to booking so we can confirm eligibility, required approvals and billing arrangements.
How do I share information with my clinician?
If you have been treated previously at another clinic and would like to transfer your records to us, please email reception@awarehub.com.au and request a copy of our Consent To Release Information Form . You will need to sign this form and return it to us via email. Please allow for up to 14 days for us to action this request.
How do I communicate with my clinician?
Please email reception@awarehub.com.au. We do not release any clinician’s personal email or phone number. Due to the very high volume of daily emails, we kindly request that any communication with your clinician be kept to a minimum and only when absolutely necessary. Please note that many of our clinicians do not work every day of the week and will only have access to their emails on their working days. Please allow for up to 72 hours for your clinician to respond to an email. If you are in an emergency situation, please follow our emergency procedures. Should you have a more urgent or detailed request, please call or email reception to book the next available appointment with your clinician.
What would happen if my clinician was to leave AwareHub?
As the clinicians are contractors rather than employees of AwareHub, we do not have control over their decisions regarding places of work. If a clinician leaves our practice for professional or personal reasons, we will endeavour to facilitate a detailed handover and smooth transition should you choose to stay within the practice and continue being seen by one of our other qualified clinicians. Any initial appointment with a new clinician at AwareHub will be billed in accordance with Medicare regulations as a “new assessment” and charged as such. However, as an existing client of Awarehub, we will prioritise booking you in with a new clinician, subject to earliest availability. Your existing clinician will always provide a detailed handover to your GP, and you always have the right to seek a referral for a practitioner outside of AwareHub. The practice retains all records of clients consulted at AwareHub. As a client, you have a right to your records. If you choose to see a new clinician within or outside of our practice, we can release your records upon signing a release of information. We understand that these situations can be unpleasant and inconvenient, but we will do everything we can to make it as seamless as possible, and ensure continuity of care should you remain within the clinic.
If I hold a Veteran Gold Card or Veteran White Card, can I consult with a mental health professional at AwareHub?
Yes, a number of our Mental Health Clinicians consult with clients who hold a Veteran Gold Card or Veteran White Card. Please check with us prior to your consultation or receiving treatment that we can assist in making the necessary arrangements and to ensure that DVA will pay for the costs of your services. DVA generally pay for services listed on the Medicare Benefits Schedule (MBS) or the DVA Fee Schedules. Many of our novel treatments for treatment resistant depression are covered by DVA. Can I consult with a clinician at AwareHub under a NSW workers compensation claim?
The State Insurance Regulatory Authority (SIRA) is the NSW Government agency responsible for regulating the NSW workers compensation system. A number of our clinicians are accredited to provide services and treatment (general practice, mental health and exercise physiology) to workers in the NSW workers compensation scheme. Many of our novel treatments for treatment resistant depression are covered under a workers compensation claim. Please contact reception prior to your consultation or receiving treatment that we can assist in making the necessary arrangements and to ensure that your services will be covered by your insurer. Do I have to be a client to access the wellness services, such as yoga and meditation?
No, you needn’t be an existing client of AwareHub, nor be required to see one of our clinicians, in order to access these services. You will be required to register your details on our system.
